This page applies to the ClockOut apps published by Ophy Labs Inc (ClockOut Time Clock on the App Store and Google Play, and useclockout.com). You can ask for your account and personal data to be deleted at any time. Here is how it works and what happens to your data.
If you are an employee
Your ClockOut account was created by your employer, who is the controller of your work records. You have two ways to request deletion:
- Ask your manager or the account owner at your company to remove you. In the web dashboard they open People, choose your name, and select Remove. Your login stops working immediately.
- Or email hello@useclockout.comfrom the email address on your account (or include the phone number you sign in with) with the subject “Delete my account”. We confirm your identity, notify your employer, and delete your account within 30 days.
If you are an account owner
Email hello@useclockout.com from the owner email address and ask us to close the company workspace. We cancel any subscription, keep the workspace in a 60 day recovery window in case you change your mind, then delete it permanently.
What is deleted
- Your login, name, email address, phone number, and profile.
- Device push tokens, sessions, and notification preferences.
- GPS coordinates attached to your punches and any clock-in photos.
- Chat messages you sent, availability, and time off requests.
What is kept, and for how long
- Timesheets and pay records (hours worked, breaks, pay rate, approvals) are kept by your employer for up to 7 years because labor and tax law requires it. They no longer carry your location data or contact details after deletion.
- Anonymous application logs are kept for 90 days for security and debugging, then removed.
Delete some data without deleting your account
You can turn off arrival reminders (background location) in the app at any time, and you can ask your employer to remove a clock-in photo or a punch correction note. For anything else, email us and we will help.
