How to make a work schedule

    List the team

    Rename the three starter rows and add a row for each employee who works this week.

    Fill in shifts

    Set a start and end time for each working day. Leave days blank for days off; blank days count zero hours.

    Check the totals

    Watch each employee's weekly hours to keep people under overtime, and check daily totals for coverage gaps.

    Share it

    Print the week for the wall or break room, or download the CSV and paste it wherever the team looks.

Tips for a schedule that survives the week

  • Watch the weekly hours column. In most US states, non-exempt employees earn overtime past 40 hours in a workweek. Keeping the total visible while you build avoids accidental overtime.
  • Balance daily coverage. The daily totals row shows how many scheduled hours each day has. A thin Tuesday is easier to fix before publishing than after.
  • Collect availability first. Most schedule rework comes from shifts assigned to someone who could not work them. Ask before you build, not after.
  • Publish somewhere employees actually look. A printed sheet works until it changes. If the schedule changes during the week, every copy in circulation is wrong.

Is this work schedule maker really free?

Can I save my schedule and edit it later?

The schedule lives in the browser tab, so download the CSV to keep a copy you can re-import into a spreadsheet. For schedules you edit week after week, a scheduling app with saved recurring schedules is the durable option.

How are overnight shifts counted?

If a shift's end time is earlier than its start time, the maker assumes it crosses midnight. A 22:00 to 06:00 shift counts as 8 hours on the day it starts.

Does the maker deduct breaks?

No. Totals are scheduled shift hours. If you deduct unpaid breaks at payroll time, use the clock in clock out calculator to compute worked hours with breaks removed.
